Doing a Digital declutter is all about getting rid of unnecessary apps, files, and messages. Otherwise, some of the harmful effects of digital clutter include the inability to stay focused, stress, and reduced productivity, to name a few!

So to get rid of digital clutter, you’ll want to do things like: limit the apps you use, organize information in files and folders, and clean up your inbox, devices, and browsers regularly (this is NOT just a one-time thing)!

✅ How To: Clean Out and Organize Your Email Inbox!

I recently found myself staring at 600 emails, 90% of which were “Unread”, aka Unimportant for one reason or another. So, I spent several hours one day batch-deleting and organizing all my emails into file folders. In case you did NOT know, almost EVERY email inbox can create file folders and labels or tags — they all have some type of way to organize your email inbox!

If not, then maybe it’s time to switch. I love Gmail and use it for both personal as well as, Google Workspace for business! You can even set up filters and forwards to automate email inbox management for you! I try to aim for Inbox Zero and create a task instead of staring at an endless, overwhelming inbox full of emails, thinking about what I need to do next!

A cluttered inbox can be overwhelming and make it harder to find important messages. Take control of your email with these steps:

📌 Unsubscribe from Unnecessary Emails

Reduce inbox clutter by unsubscribing from newsletters, promotions, and subscriptions you no longer read. Use tools like Unroll.me or built-in unsubscribe links to streamline the process.

📌 Delete or Archive Old Emails

Go through your inbox and remove outdated or irrelevant emails. Archive important messages you may need later, but don’t need in your main inbox.

📌 Set Up Folders & Labels for Organization

Create folders or labels for different categories such as Work, Personal, Finance, and Projects. This will help you quickly locate emails and maintain a structured inbox.

📌 Use Filters & Rules to Automate Sorting

Set up email filters to automatically sort incoming messages into the appropriate folders. This will save time and keep your inbox organized without manual effort.

📌 Respond & Clear Pending Emails

Reply to any urgent or overdue messages, then move them to the appropriate folder or archive them. A regular habit of inbox maintenance will prevent email overload.

📌 Schedule Regular Inbox Cleanups

Set a weekly or monthly reminder to review and tidy up your inbox. Consistent maintenance helps keep your email under control and stress-free.

🚨 An Important Note about Unsubscribing from Emails:

Speaking of inbox management and decluttering, be sure while you’re organizing your inbox that you not only DELETE those unnecessary emails but also UNSUBSCRIBE from them! It may take a few times over the course of weeks or even months to get those endless emails to stop, but eventually, with persistence and repetition, they will ease up! Also, consider labeling JUNK mail as such, aka Spam, so you will never have to look at it (except once a month or so to confirm everything is actually unimportant emails).

Another tip is to make it a habit or always unsubscribe to a new email list as soon as you sign up! Or even turning off notifications-type emails. So think about social media update emails, weekly digest, etc… do you really need to get an email to remind you to check social media? At least unsubscribe and turn off unimportant notifications, emails, etc…


✅ How To: Digitally Organize Files & Folders Online

A well-organized digital filing system saves time, reduces frustration, and ensures your important documents are always accessible. If you haven’t already, it’s time to digitize your life—stop relying on paper and start scanning everything online! Storing digital copies of your physical documents allows you to access them from anywhere, anytime. (i.e. Not only do I have files and folders on my computer, but I also keep them online in the cloud and on an external backup drive)

📌 Create a Clear Folder Structure

Organize your files into main categories such as “Work,” “Personal,” “Finance,” and “Projects.” Within each main folder, create subfolders to further categorize documents logically. Keeping a structured system makes it easier to find what you need.

📌 Use Cloud Storage for Accessibility

I personally use Google Workspace for my business and Google Drive for personal documents, but you can also store Microsoft Word documents and other file types in cloud services like Dropbox or OneDrive. Keeping your files online ensures they’re accessible from any device whenever you need them.

📌 Declutter & Delete Unnecessary Files

Regularly review your online storage and remove duplicate, outdated, or irrelevant files. This helps prevent digital clutter and keeps your system running efficiently.

📌 Rename Files for Easy Identification

Use clear, descriptive filenames instead of generic names like “Document1” or “Scan_2024.” For example, name invoices as “Invoice_CompanyName_Date” to make them easy to find later.

📌 Back Up Important Files in Multiple Locations

Even if you store files in the cloud, it’s essential to create regular backups for offline access or in case of data loss. I keep backups in the cloud, on my computer, and on a Portable External Hard Drive (with a protective case — FYI get the case and Do NOT drop your hard drive or it can damage your files, and you might never be able to access them again). Consider using an automated backup service for added security.

Many cloud storage platforms allow tagging or color-coding folders. Use this feature to highlight frequently accessed files or visually separate work and personal documents.
